Privacy
How FieldNexo handles your information and your customers’ information. Effective September 8, 2026.
Who we are
FieldNexo is owned and operated by Northeast Pennsylvania Investments LLC, a limited liability company organized in Pennsylvania, United States. In this policy “we,” “us,” and “FieldNexo” mean that company.
This policy covers the FieldNexo application, the FieldNexo website at fieldnexo.app, and the emails we send in connection with them.

Who is who
Four different groups of people appear in FieldNexo, and which group someone falls into decides who is responsible for their information.
The business that signs up for FieldNexo, and the person who runs that account. The owner controls the subscription, the settings, who else gets access, what each of those people can see, when information is exported, and when the account is deleted. We are directly responsible to the owner for the information we hold about them.
People the owner adds to the workspace — office staff and field crew. Each has their own account, their own sign-in, and their own display language. What each team member can see is decided by the owner, not by us: field users get focused tools on the phone and do not see business settings, and the owner turns on additional sections person by person.
We hold each team member’s name, email address, and role. Because the owner controls their access, questions about what a team member can see are questions for the owner.
The people and businesses you do work for. They do not sign up for FieldNexo and they do not have accounts. Their names, addresses, phone numbers, email addresses, job history, and billing records live inside your workspace because you put them there.
Your customers do encounter FieldNexo in three ways, and we want to be specific about each:
Apart from these, we have no relationship with your customers. We do not email them for our own purposes, we do not market to them, and we do not sell or share their information.
Anyone who visits fieldnexo.app. If you ask for early access, we collect your name and email address, plus the kind of work and crew size you choose to provide. We use that information only to manage early access and launch updates, and every message includes a way to unsubscribe. To limit repeated or automated submissions, the form temporarily keeps one-way hashes based on the connection IP address and normalized email address for 30 minutes. Before accepting the request, Cloudflare Turnstile may process browser, device, and network signals to identify automated traffic. This is a security check, not advertising or marketing analytics. The distinction that matters: for information about your customers and your team members, you are the one in charge and we are the service provider. We hold and process that information on your behalf and act on your instructions. We do not use it for our own purposes.
If one of your customers or team members contacts us about their information, or asks us to correct or delete it, we will refer them to you, because it is your record and your decision. We will help you respond.
By entering information about your customers or your team into FieldNexo, you represent and warrant that you have the right to collect and store it, that you have obtained any consent the law requires, and that your handling of it complies with the laws that apply to your business. This is the same commitment every business-software provider in this category asks for, and it exists because we cannot know how you obtained information we never saw you collect.
What we collect
Name, email address, business name, and role. Collected so you can sign in and so the app knows what you are permitted to see.
Customers, jobs, schedules, estimates, invoices, payments, notes, photos, and files. Collected because storing it is the service you are using.
Sign-in times, device and browser type, IP address, and error logs. Collected to keep the service running and secure.
For an early access request, we collect the name and email address you enter, plus the kind of work and crew size you choose to provide. We use it only to manage early access and launch updates. FieldNexo holds a great deal of personal information — a customer list with names, addresses, and phone numbers is personal information, and that is the heart of the product. What it does not hold is the sensitive categories:
Two honest qualifications on that list.
Stripe collects identity and banking information during payment-account setup, on its own pages, under its own terms. We never receive it — but it would be misleading to say no part of the experience involves identity verification.
Free-text fields can hold anything. Notes, job descriptions, invoice terms, and uploaded documents accept whatever you type or attach. We do not ask for sensitive information and no field is designed for it, but nothing stops someone from entering it. Please don’t. The app is not built to protect those categories at the standard they require.
The Business Settings screen has a Tax ID field intended for a business tax identification number. Some sole proprietors legitimately use a Social Security number as their tax ID, so we do not block it — but we recommend against entering one.
Many companies in this category run advertising programs, share data for cross-context behavioral advertising, and use third-party analytics across their websites. We want to be specific rather than vague, so:
If any of that changes, we will say so here and tell account holders before it takes effect.
Service providers
Running FieldNexo requires a small number of established providers. This is ordinary for software of this kind — nearly every business application relies on outside providers for hosting and sign-in rather than building those systems itself. Each receives only what it needs, is bound by a written agreement with us, and publishes its own commitments, which you can read.
Receives your name and email address so that sign-in is secure. Clerk does not receive your business content: not your customers, jobs, estimates, invoices, photos, or files.
Hosts the application, the database, and photo and file storage, in the United States. Your business content is stored on DigitalOcean infrastructure under our account and our access controls.
If you turn on online payments, your customer pays through a checkout page hosted by Stripe and charged to your own Stripe account. The money goes directly to you. FieldNexo is not a payment processor: we never receive, hold, route, or transfer your customers’ funds, and we take no fee on them. Card numbers and bank details are entered on Stripe’s pages and never touch FieldNexo.
What we send Stripe: the invoice amount, the currency, the invoice number, your business name, your customer’s email address where we have one, and a language preference. What we receive back: confirmation that the payment succeeded, so the invoice can be marked paid.
Turning this on means connecting a Stripe account. Stripe collects the identity and banking information it needs for that directly from you, on its own pages, under its own terms. We receive only your connected-account identifier and its status. Stripe’s processing fees are charged to your account by Stripe.
Payments you record by hand are simply bookkeeping entries. Nothing leaves FieldNexo and no processor is involved. You never have to turn online payments on.

When you send an estimate or invoice by email through FieldNexo, an email delivery provider transmits it. That provider receives the recipient’s address and the contents of the message you chose to send.
This provider will be named here, with a link to its policy, before FieldNexo opens to the public.
We do not authorize any provider to use your information or your customers’ information for its own marketing. If this list changes, this page changes with it.
Responsibility
Some of this is ours to get right and some of it is yours. In plain terms:

Your control
You can take a complete copy at any time. As the account owner you can download a full backup: your records in open JSON and CSV formats, your photos, your files, a manifest of the contents, and SHA-256 checksums so you can confirm nothing was damaged in transit. You can also export customers, jobs, and QuickBooks Online files separately. You do not need our permission and you do not need to ask.
You can delete the account yourself, from inside the app. When you schedule deletion, access stops immediately and you have seven days to change your mind. After seven days, customers, jobs, schedules, estimates, invoices, payments, notes, settings, photos, and files are permanently deleted.
What remains afterward is a minimal record containing hashed identifiers, dates, and record counts. It holds no business content and no customer information. We keep it only to show that the deletion happened.
Download whatever you want to keep before you delete. The app reminds you on screen.
If you would rather we handle an export or a deletion for you, write to privacy@fieldnexo.app from the email address on the account.
Security
We use commercially reasonable administrative, technical, and physical safeguards, including encryption of information in transit, role-based access controls that limit each person on your account to what their role permits, and restricted administrative access on our side.
No service can promise perfect security, and we will not pretend otherwise. What we can tell you is exactly what happens if something goes wrong.
If there is a breach
If we determine that a security breach has resulted in unauthorized access to personal information held in FieldNexo, we will notify affected account holders without unreasonable delay, and we will notify regulators, consumer reporting agencies, and any other parties where the law requires it. The notice will describe what happened, what kinds of information were involved, and what we are doing about it.
Because your business content is yours, you may have your own obligation to notify your customers. We will give you the information you reasonably need in order to do that, promptly.
To be clear: nothing in our Terms of Service limits any breach-notification obligation we have under applicable law, including Pennsylvania’s Breach of Personal Information Notification Act. A company cannot contract its way out of that, and we are not trying to.
Other terms
We may disclose information without your consent where we reasonably believe it is necessary to comply with a law, regulation, subpoena, court order, or valid government request; to enforce our agreements; or to investigate and prevent fraud, security incidents, or technical problems. Where we are permitted to tell you about such a request, we will.
If FieldNexo or substantially all of its assets are acquired, or the company merges, reorganizes, or ceases operations, information may be transferred as part of that transaction, including during due diligence. Any acquirer would remain bound by the commitments in this policy for information collected under it, and we would notify account holders.
FieldNexo is hosted in the United States. If you use it from outside the United States, your information will be transferred to and stored in the United States, where privacy laws may differ from those where you live.
Photos. Phones embed hidden information in every photo — including, in many cases, the exact GPS coordinates where it was taken. When you upload a photo to FieldNexo, we strip that metadata before storing it: no location, no capture timestamp, no device model, no embedded thumbnail. The photo we keep is the picture and nothing else. Photos taken on an iPhone are also converted to a standard JPEG so they open anywhere.
Other files. Documents you upload — PDFs, spreadsheets, and the like — are stored exactly as you provided them, so any metadata already inside them stays there. If that matters for a particular document, check it before uploading.
Files we generate. An invoice PDF created by FieldNexo carries ordinary document properties: the invoice number, the invoice title, and your business name as the author. If you use your own name as your business name, your name appears there. Backup and export files include a manifest listing what the export contains, with file sizes and checksums.
We keep your business content while your account is active, then according to the deletion process above. Technical records and backups are kept for a limited period for security, troubleshooting, and recovery, which means a deleted record may persist briefly in a backup before that backup rotates. We may also retain limited information where the law requires it or to resolve a dispute.
FieldNexo is a business tool and is not directed to children. We do not knowingly collect information from anyone under 18. If you believe a child has provided us information, write to privacy@fieldnexo.app and we will delete it.
Depending on where you live, you may have the right to know what personal information we hold about you, to correct it, to obtain a copy, and to request that it be deleted. You can exercise all of these directly in the application, or by writing to privacy@fieldnexo.app. We will not deny you service, charge you a different price, or provide a lesser experience for exercising these rights.
If your request concerns information we hold on behalf of an account holder — that is, if you are the customer of a business that uses FieldNexo — we will forward your request to that business and assist them in responding.
This website does not use advertising trackers or marketing analytics, so a Do Not Track signal does not change its behavior. Essential anti-abuse security checks remain active for everyone.
If we change this policy we will post the new version here and update the effective date above. If a change is significant, we will notify account holders by email or in the app before it takes effect.
